SITE COORDINATOR / CLOSING ASSISTANT / OFFICE ASSISTANT
Reports To: Sales Director
Accountabilities and Responsibilities: Meeting and greeting customers in a professional, friendly and cheerful manner.
Handling telephone calls in a professional and courteous manner.
Being dependable and providing site coverage in accordance with the schedule established by the Sales Director.
Demonstrating model homes, responsible for all buyer selections.
Open and Close models as needed.
Follow Communication Protocol (See Exhibit B).
Assisting the Sales Director in the administration of the sales office and site.
Conducting all business with the highest standard of integrity and honesty.
Maintain all business files, follow-up with lending institutions and vendors involved with the sales process.
Assist the Closing coordinator with closing preparations.
Duties and Tasks: Assist Sales Director as required in ensuring the grounds, sales office and model homes are in optimum showing condition at all times.
Meet and greet customers.
Update as needed all customer related data into data management program.
Assist the Sales Director in maintaining files in accordance with the policies and procedures. Handling closing information as required by the Sales Director.
Provides site coverage and assist Sales Director in handling traffic including providing orientations to the community and demonstrating model homes.
Is familiar with builder/developer products and programs.
Prepares Options Exhibit for P&S.
Maintains good relations with local lending institutions and be responsive to their requests.
Maintains good relations with previous purchasers to ensure their satisfaction and generate referrals.
Maintains good relations and respond to requests from main office.
Assist the Sales Director with customer follow-up activities.
Attends weekly construction meetings and special events as required by the Sales Director.
Closing Coordinator: All items noted/dated in selections book 30 days prior to close confirm close date with construction
Prepare/ send out (email) closing letter to Buyer (30 days notice) Prepare final figures send to Seller for approval (30 days notice)
- Once signed by Seller, send to Buyer for signature
- Send fully signed final figures to Seller`s attorney
- Provide fully signed FF to Sales Director for commission statement
If financing prepare appraiser package
Send Buyer`s closing attorney contact info to Seller`s attorney
Send CO to Seller`s attorney Schedule Buyer pre-close and close walk with construction If Co-broke request W9
Closing file with all pertinent documents delivered to ADM
- At least 2 weeks prior to close
Write welcome note for closing gift
