What you'll be doing: As an Executive Administrative Assistant to the Executive Vice President and Chief Financial Officer providing support and assistance for regular administrative functions. You will serve as a liaison, problem solver, facilitator, and the first point of contact for the office of the EVP and CFO for employees at all levels as well as outside stakeholders, and professional contacts. The Executive Administrative Assistant is integral to the efficient workflow and information sharing within the business. This is a highly visible and challenging opportunity to collaborate with the senior leadership of the finance, administration and IT department.
The Position: You will be responsible for calendar and event management, which includes scheduling appointments, prioritizing schedules, arranging audio / web / video conferencing, meeting room resources, and catering. You will coordinate with our offices globally to plan and execute employee events throughout the year. You will collaborate with finance, administration and IT senior leadership on high visibility presentations like quarterly board meetings, quarterly all hands meetings, and various other meetings and presentations scheduled throughout the year including materials for the Board of Directors and related committees. You will coordinate and provide administrative support for team events including event planning, accommodation and travel. You will provide administrative support such as travel and expense report preparation & submittal. You will work with Workday (HRIS) to coordinate tasks and communication associated with new hires, job changes, separations and transfers as well as maintaining organizational charts, seating charts, distribution lists and updating the team’s intranet sites.
We are looking for someone with 5+ years’ experience in a similar position supporting a medium to large size team. Communication skills are key, especially with sensitive information. Also required will be prior experience with Microsoft products i.e. PowerPoint, Excel, Word, and OneNote. If you have experience with Workday (HRIS system) and/or Concur (travel and expense management system) that is a plus! If you have excellent priority setting, time management, process improvement, organizational skills and enjoy working with a driven, engaged, and passionate team, this could be the perfect opportunity for you!
