An executive level Administrative Assistant is needed for the Office of the Provost. This position acts as the face of the office and therefore the incumbent must possess a level of maturity to ensure that work gets done accurately and on time. The incumbent is expected to always represent the office in a highly professional manner and interact with a diverse population with the appropriate approach and demeanor. The incumbent is expected to maintain the professional and friendly environment that faculty, staff, administration, and guests experience when they walk into our suite with customer service being of the utmost importance.
This position is responsible for providing coordination and administrative support to the Vice Provost of Faculty Affairs, Faculty Development, and Diversity (FADD), including coordinating faculty development seminars and workshops, both on- and off-campus; maintaining calendars; organizing large and complex meetings; compiling attendance and satisfaction data regarding these events, and producing analyses of this data for reporting purposes; drafting, tracking, organizing and proofreading correspondence; organizing and maintaining office files, both paper and electronic. This role requires strong attention to detail and organization, the ability to be proactive and anticipate the Vice Provost's needs, exceptional and error-free written communication, the ability to balance multiple projects, and the capacity to react to changing priorities in a fast-paced environment.
This position requires the incumbent to demonstrate sensitivity to the culture in an academic environment, to possess professional savviness, complete discretion and confidentiality, and the ability to synthesize information and change course fluidly when necessary. The incumbent will provide team-based seamless contributions to all administrative aspects of the FADD team, which includes backing up colleagues when needed and performing tasks outside of traditional day-to-day activities when needed. Incumbent must be proactive in identifying issues in advance and working on solutions before they become a problem. This position reports to the Senior Assistant to the Provost, FADD, and provides administrative support to the Vice Provost, FADD.
Associates Degree required with Bachelor's Degree preferred. One to two years of prior secretarial experience in a high-level office and previous experience in coordinating large conferences/workshops required. University experience preferred. Requires proficient typing, word processing, email, spreadsheet, and computer skills. Must have strong written and verbal communication, proper grammar, and spelling.
