Serve as primary administrative support answering telephone and front-desk receptionist responsibilities, accurately recording and distributing information to external and internal constituents.
- Answering phones – includes effective problem solving skills in answering questions and connecting guests with appropriate staff.
First point of contact greeting visitors and providing customer service to visitors, students/families, and University constituents. Responds to questions or concerns, explaining Bethel procedures and policies, and first level problem solving.
Process department mail, distribute checks and credit cards.
Review incoming documents for completeness and adherence to policies set in place.
Administrative Support – manage appointment calendars for department supervisors; plan, organize and schedule staff meetings; manage forms to ensure current versions are posted; manage and purchase general office supplies.
Maintain and improve business office website content.
Ability to manage time and work simultaneously on multiple tasks through effective personal organization with the ability to shift directions easily, have high attention to detail, and the ability to assess the urgency level of issues.
Must have a proven ability in providing strong customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
Ability to communicate effectively orally and in writing on behalf of executive level leadership.
Demonstrated experience as a self-starter with ability to oversee complex responsibilities.
Ability to handle highly confidential and sensitive information in a professional manner is essential.
Must be proficient with Microsoft Office suite. Experience with Google mail preferred.
- Minimum of two years’ experience in an office setting with complex levels of responsibility, preferably in a higher education setting.
- High school education with post-high school training/coursework required. Bachelor’s degree preferred.
