Cape Fox Federal Integrators is seeking an experienced Administrative Support Specialist to support the USARC. The Administrative Support Specialist will assist the administrative manager in performing administrative program support services tasks to assigned Command in accordance with referenced Army regulations, policy directives, Standard Operating Procedures and other processes referenced within this contract.
Assist with tracking, developing and providing reports of assigned Family Readiness Liaisons and other Family Readiness staff and their training status.
Assist with tracking, developing and providing reports of Command Team attendance at required Family Programs/Readiness trainings/events.
Provide command administrative support to enhance implementation and accountability of the Command Volunteer Management process.
Assist document all volunteer interactions and efforts in approved government database and maintain a database of statutory volunteers.
Assist maintain records of each statutory volunteers, their attendance at required trainings, and current and past certifications.
Track and report training sessions provided by volunteer instructors.
Update volunteer database to include volunteer services contributed and collect other volunteer related database and forms.
Support the administrative management, planning and coordination of Army Reserve Family Programs training/conference events.
Develop drafts for approval of program agendas and briefings to ensure that key strategic messages, identified by the Government, are delivered.
Provide standardized event planning and planning tools in support of established meeting methodology which covers all support components.
Assist with coordinating and documenting participant information for events.
Respond to individual inquiries concerning events and event attendance.
Assist with drafting for approval after action reports to include assessment of participant satisfaction, lessons learned, best practices and proposed recommendations for future events.
Assist with preparing continuity book which includes post event/ program analysis results, successes and challenges experienced, best practices and lessons learned for future tracking.
Prepare documents and briefings in support of Army Reserve Family Programs.
Perform general administrative support services to include: Receiving/screening phone calls, operating office equipment, establishing and maintaining files, recording minutes, preparing Family Readiness correspondence for signature etc.
High School Diploma
A minimum of one year of experience in a support role of relation position
Must have an active secret clearance or current NACI
Must be tactful, discrete, and articulate
Superior organizational, oral, written, communication skills
Proficient user of Microsoft Excel, SharePoint, PowerPoint, Word, Outlook as well as the ability to manipulate information in existing databases using software such as Access
