As an Amenities Coordinator with Hines you will assist the Facilities Events & Amenities Team with creating and maintaining employee services and conveniences across Facebook's regional campuses. In collaboration with various cross-functional teams, you will assist by sourcing and securing vendor partners and by facilitating onsite programmatic operations to deliver an optimal on-campus employee experience. Responsibilities include, but are not limited to: + Assist Event Planners with the maintenance of existing amenities programming across regional offices, including pop-up shops, onsite services, conveniences, and perks; remote support required + Collaborate with onsite and remote Event Planners to identify, coordinate, and launch new amenity programs, community engagement activations, and partnerships + Coordinate and assist with the load-in, set-up, and strike of rotational vendors; prepare on-boarding documentation, provide orientation, and troubleshoot for vendor teams to ensure a seamless experience + Serve as a regional employee and vendor point of contact, monitoring internal Facebook Groups for questions and feedback, and liaising between parties as necessary to tactfully and promptly remedy issues as they arise + Facilitate the procurement process for all new and renewed vendor contracts, ensuring proper documentation is obtained and appropriate access is granted + Build and strengthen vendor and interdepartmental relationships + Collect vendor and employee feedback, monitor utilization levels, and provide quality control for amenities offerings + Analyze operational metrics and vendor relationships to identify efficiencies and drive employee engagement + Communicate effectively with onsite and remote Facilities Events & Amenities team members, vendors, service team partners, and employees in a deadline-driven environment + Update internal team documents and tools as required + Assist other Facilities departments as necessary Minimum Requirements include: + High school diploma from an accredited institution; Bachelor's degree preferred + One or more years experience in an administrative role; experience in amenities, hospitality, or office administration preferred + Ability to work creatively, collaboratively, and independently to deliver on responsibilities + Ability to multi-task, prioritize, coordinate, and complete tasks with a high degree of accuracy and timeliness, and with minimal supervision + Intermediate knowledge of Microsoft Office + Proficiency with graphic design programs preferred, including Adobe Creative Suite + Experience with collaboration platforms, including Google Drive, Quip, and Sharepoint + Must be able to proactively think, plan, and execute resourcefully + Must be able to negotiate, organize, delegate, and multitask on various projects + Strong customer satisfaction focus, interpersonal skills, and ability to engage with interdepartmental teams + Excellent written and verbal communication skills + Strong organizational and problem-solving skills + Must be able to lift at least 25 pounds Hines is a privately owned global real estate investment firm founded in 1957 with a presence in 219 cities in 23 countries.
