Assistant Property Manager & Operations Administrator
Job Description:
Our client, a leading commercial real estate developer based in Fairfield County, is currently seeking an experienced, poised, adaptable, organized and self-sufficient Assistant Property Manager & Operations Administrator to hit the ground running! The ideal candidate's main objectives in this role will be to professionally engage with tenants on a regular basis and perform various administrative duties in a fast-paced environment while serving as a "right arm" to the site's Property Manager, who the Assistant Property Manager & Operations Administrator will report directly into.
Responsibilities:
- Respond to tenant service requests and complaints
- Manage and coordinate all tenant relations and service programs
- Oversee building engines to make sure all tenant work orders are completed and closed out by engineers
- Assist with the execution of contract service agreements, according to specification
- Coordinate contractors and construction workers to ensure consistency with building rules and regulations
- Conduct base building and tenant area cleaning inspections while addressing accordingly
- Maintain property records, permits and insurance certificates for tenants and contractors
- Prepare employee payroll time cards and maintain attendance records
- Review and code monthly payables
- Prepare tenant back charges for services performed by in-house and outside contractors
- Assist with contract bidding and the negotiation process
- Obtain tenant certificates of insurance as needed
- Assist with the development of annual operating budget
- Oversee the execution of contract service agreements, according to specification
- Assist accounting staff in monitoring financial performance and preparing monthly reports
- Administer all aspects of the tenant move-in and/or move-out processes
- Assist in monitoring the financial performance of the property and preparing the monthly performance report to ownership
- Maintain communications with corporate accounting, leasing and marketing departments
- Perform other duties and special projects as assigned
Requirements:
- Bachelor's degree preferred
- Strong knowledge of the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required
- Previous commercial real estate experience, including knowledge of building systems, HVAC, energy management, fire/sprinkler, electrical, telecommunication systems, etc., required
- Thorough knowledge and understanding of Real Property Administrator (RPA) designation through Building Owners & Management Association (BOMA) strongly preferred
- Must understand direct expense reconciliation and capital/expense item distinction
