Responsibilities: Provides basic support to branch and district offices of AXA Advisors including receptionist, mail distribution, administrative, and new business.
Skill/knowledge: Basic problem-solving skills. Research and data gathering ability. Ability to read and interpret documents. Ability to prioritize tasks. Basic experience using Microsoft Office Suite. Basic written and verbal communication skills. Ability to collaborate.
Branch Support: Greets visitors, screens telephone calls and responds to information requests. Maintains reception and break room areas. Updates PC board and office bulletin boards monthly. Distributes updated office directory as needed. Uses basic to intermediate word-processing and spreadsheet software, and is obtaining expertise in other databases and software. Collects information from files or staff for routine inquiries and reports. Responsible for related clerical duties, such as generating contract quotes and inforce proposals, running reports, and printing forms from eDox. May occasionally make basic arrangements for meetings and conferences such as scheduling the event, sending calendar invites, managing RSVPs, ordering food, providing necessary training materials for event, and reserving and preparing conference room. Keeps office supplied with AXA Marketing Materials, monitoring and removing expired materials and ordering updated versions. Orders office supplies, basic electronics and break room supplies as needed. Files terminated client files for financial professionals; schedules pick up for archivable terminated client files. Responsible for doing routine hardware updates on employee and kiosk computers. Functions as the office's point of contact for the property management company. Submits service requests on behalf of financial professionals and branch employees, and follows up on all suite maintenance issues. Forwards general email correspondence from property management to financial professionals and branch employees.
Branch Mail: Primary responsibilities include: sorting, batching and delivering external and internal mail, packages, etc.; opens, sorts and distributes incoming mail as needed; inspects incoming/outgoing mail for compliance related issues; dispatches outgoing mail; operates postage meter machinery; generates FedEx labels for sending service forms and client checks to appropriate service centers. Logs all received checks and incoming/outgoing client correspondence into Pinpoint Portal. Orders supplies as needed for Pitney Bowes, FedEx, USPS, etc. Must have ability to work on your feet for long stretches of time and ability to lift 20+ lbs.
Client Relations - CRM: Answers basic service requests from clients who no longer have a primary relationship with a financial professional. Coordinates with the service center to help resolve basic client policy service questions or issues. Generates and manages the Master List of Orphan Clients (CRM clients). Creates and distributes CRM lead lists for new hires, qualifying financial professionals, District Managers, and for All Day Call Day events. Uses Salesforce to assign orphan leads to financial professionals. Creates and manages salesforce opportunities. Works closely with financial professionals to follow up with CRM leads. Maintains active CRM client files on site.
Recruiting: Assists District Managers in sourcing resumes through employment-related search engines such as Indeed, Career Builder, etc. Contacts potential candidates via email and forwards responses to appropriate hiring manager. Keeps recruiting packets updated and supplied for interviews. May research local career fairs and schedule District Managers or EVPs to attend event.
New Hire Onboarding: May assist Branch Licensing Coordinator by helping new hire complete and submit necessary paperwork. Prepares new hire's work station; provides them with building access cards, office and desk keys, parking tags. Does basic office orientation including phone system, copier/printer, fax machine, mail and FedEx, kiosk computers, office directory, etc. Orders business cards and stationery for new hire. Assists District Manager with monitoring new hire's AAVU training progress. May provide more than basic administrative support until new hire contracts.
The Candidate must have a college degree and can handle the demands of Excel and Salesforce.
