The Purchasing Assistant/Admin Assistant assists the Purchasing Department with the purchase of services and products on behalf of the Firm as well as provides administrative support to three C-Level executives
Reviews contract renewals and renewal payments, compares new contracts to existing contracts in the Contract Database, and obtains renewal proposals or invoices from vendors. Coordinates the approval process for all contracts and renewals and makes sure all final contracts are returned to the vendors. Responsible for data input and maintenance of all contracts and supporting information in the contract database. Plays an integral role in the contract database and workflow deployment project. Conducts research and reports findings related to Firm purchasing tasks (i.e. sourcing supplies or researching potential vendors). Processes Purchase Orders and obtains necessary approvals. Processes Firm invoices for payment. Makes payments for supplies and services with Firm credit card, as required. Maintains files and calendars. Coordinates travel arrangements both domestic and international. Schedules, initiates, and coordinates conference calls with various parties inside and outside of the firm. Manages telephone and video conferences across multiple time zones. Receives and places telephone calls and takes messages as needed. Manages and coordinates meetings with outside vendors. Creates and edits documents, mail merges, charts, graphs, tables, etc. Generates memos, e-mails and reports, as appropriate. Scans and edits documents utilizing scanner equipment and software.
Bachelor’s Degree IS REQUIRED. Exceptional customer service skills with the ability to multi-task. Must be extremely organized and able to work with minimal supervision. Advanced skills in MS Word, Excel, and PowerPoint. Experience working with databases and electronic workflows a plus. Strong communication skills needed to communicate with all levels of personnel. Detail oriented and comfortable working in a fast-paced office environment. Diplomacy and confidentiality are essential.
