Lescombes Family Vineyards, D.H. Lescombes Winery & Bistros, are looking to fill the positionofExecutiveAdministrativeAssistant - Bistro. The ideal candidate will have a background in being an Administrative Assistant and have a positive, outgoing attitude. Thispositionislocated inAlbuquerque, NM and reports to the Director of Bistro Operations.
Essential Duties and Responsibilities:
Schedule and organize complex activities such as meetings, travel, etc.
Responsible for scheduling and organizing management team meetings, which includes; setting the agenda, taking minutes,
development and follow up on resolution task list, including details of resolution and assignment of tasks.
Process expense reports, turn into home office in a timely manner
Track, Record, Consolidate various reports
Fields calls for mgmt team as needed. Take messages or field/answer all routine and non-routine questions.
Handle confidential and non-routine information.
Work independently and within a team on special and nonrecurring and ongoing projects. Act as a project manager for
special projects which may include: planning and coordinating multiple presentations, disseminating information, and
organizing company wide events.
Orders and maintains office supplies. Places all smallware, equipment orders for bistros
Process guest comment cards, write "Thank You" cards
Perform related duties as assigned by supervisor
Maintain compliance with all company policies and procedures
Education and/or Work Experience Requirements:
Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires
demonstrated poise, tact and diplomacy.
Must be able to interact and communicate with individuals at all levels of the organization.
Must have strong knowledge of a variety of computer software applications in word processing, spreadsheets, database and
presentation software (Microsoft Word, Excel, Google Docs, Google Sheets)
Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting
deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks
Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary
Ability to work independently and to carry out assignments to completion within parameters of instructions given, prescribed
routines, and standard accepted practices
High school diploma or GED required.
Two years of experience in an administrative assistant role required.
Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards
Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
Must be able to lift and carry up to 50 lbs
Travel Required - up to 25%
Must be able to talk, listen and speak clearly on telephone
Frequent to constant use of a computer/laptop
