This position reports to the General Manager.
What you will do:
Provide a high-level of administrative support to General Manager and the direct reports of the General Manager
Perform all office administrative duties, general clerical duties and supporting the departments by performing other duties as assigned
Support the President of Nitrogen and Phosphate and on occasion, the President of Potash and other Senior Management of the company
Organize and coordinate the day-to-day activities, managing calendars and travel itineraries, maintaining files, and following up on assignment tasks
Complete general clerical duties, including submitting expense reports and invoices, planning meetings, sending faxes, sorting mail/emails, and managing office supplies for administration
Handle phone calls and inquiries; answer questions and provide assistance regarding policy or procedural information
Format a substantial number of presentations that use Microsoft Excel, Word and PowerPoint
Prepare correspondence, spreadsheets and graphs
Greet and assist visitors or employees
Manage department budget
Issue reminders and messages
Proofread written communication for spelling, punctuation and grammar as well as tables for correct numeric values/content
Safe-guard the confidentiality of all communication that is sensitive in nature
Serve on committees, as necessary, to assist managers--such as emergency management group, quality audit teams, etc.
Coordinate the use of the plant airplane landing strip
Maintain weekly schedules of key employees (managers, superintendents, etc.), including weekend duty schedules
Make travel arrangements for managers
Compile and distribute meeting minutes and provide support during budget preparation, as needed
Represent Nutrien (Aurora) by attending public/community events, as needed
Prepare agendas and make arrangements for various meetings
Some overtime may be required
What you will bring:
High School graduate. Minimum three to five years of administrative assistant experience working for Executive level management and a proven track record of reliability
Knowledge of principles and methods for presentations/instruction to both individuals and groups
- Knowledge of the Phosphate Operations along with a need for professionalism, diplomacy, confidentiality, proficiency, and communication skills
High proficiency in Microsoft Word, Excel and PowerPoint required as well as knowledge in Lotus Notes
Must be detail oriented and proactive, willing to work for and with each member of the team, exhibit good communication skills, seek continuous improvement, and be flexible in work assignments
Confidentiality and trustworthiness are absolute musts
Work well under pressure and with minimum direction
Prioritize and manage multiple tasks
Represents Nutrien professionally in all internal and external communications
