Services to be performed
This role would manage complex calendaring across multiple time zones for two directors, and light calendar support for a third director while he recruits for his own EA. Aside from calendaring, this person will also be responsible for submitting expenses, and booking multi-city international and domestic travel, including hotels, transportation, visas, and logistics while the directors are abroad (such as meeting coordination). This person will also organize, execute, and assist with team activities such as staff meeting agendas, All-Hands meetings, on-sites/off-sites, team social events, etc. The role will also book conference rooms, manage the restricted room for the directors, print documents ahead of meetings when needed, as well as provide overall administrative support to the team. Coordinate closely with Finance team, Recruiting team, Facilities team, HR team, and other Executive Assistants within the clients community. This person will also work very closely with the VPs EA (me) to track and help drive completion of key deliverables and follow up on outstanding items, as well as help by providing onsite support to the VP when required.
3+ years of experience assisting at the executive level, Bachelor’s degree or 5+ years of experience as an administrative assistant, Proficiency in Microsoft Outlook, Microsoft Word, Excel, PowerPoint, SharePoint, experience working with international teams across different time zones, experience booking international travel
5+ years of experience assisting at the executive level, Bachelor’s degree or 10+ years of experience as an administrative assistant, Detail oriented, with exceptional organizational skills, Event Planning experience
