Provides substantial administrative, operational and project management to a Senior Vice President, which allows the SVP to allocate time to the top priorities of the Credit Union. May provide support to one or more Senior Executive(s).
ESSENTIAL POSITION FUNCTIONS:
Provides optimum support for the assigned Senior Executive(s) by working autonomously on projects and initiatives. Responsible for staying abreast of goals and priorities of the respective departments, and ensures deadlines are met. May also provide administrative support to other division executives and management.
Responsible for daily administrative needs of the Senior Executive(s), which includes but is not limited to, scheduling appointments and maintaining the Senior Executive(s) calendar, preparing correspondence letters and memos for and on behalf of executive, typing, copying, answering telephones, and sorting and distributing incoming mail.
Communicates by email or telephone on behalf of the executive within the credit union and externally. Tracks and submits division staff bi-weekly payroll.
Works with senior management to prepare agenda packages for various credit union committees, CUSO Boards, management meetings, as assigned. This may include research and preparation of reports and PowerPoint presentations. This includes request for meeting materials. May attend meetings and act as Recording Secretary. Maintains official records. Prepares and provides materials for inclusion in Wescom’s Board of Directors meeting packages.
Coordinates and schedules staff and vendor meetings and conference calls. Prepares and distributes meeting materials. Arranges for meeting space, equipment, facility tours, product demonstrations, and refreshments, as needed.
Makes travel arrangements including airline, hotel, and rental car reservations for Senior. Executive(s), division executives and management. Registers division executives and management for conferences and correlating activities. Tracks and prepares expense reports. Prepares check requests for Finance.
Coordinates research and responses to member inquiries and issues with urgency, tact, professionalism, confidentiality, and sensitivity. Maintains and updates member issue log and related correspondence.
Routes various publications, appropriate internal and external correspondence, and pertinent articles of interest to executives, management, and division staff.
Responsible for request of information needed for Board Flash Report(s) and preparation of the Flash Report(s).
May have delegation authority to facilitate approval on behalf of the SVP in Workday, Kronos, and invoice approval.
Manages special projects by conducting research, compiling and distributing data, and tracking results. Generates monthly reports.
Manages special events by helping to coordinate and plan events including catering, event space, and event logistics. May be required to attend and help work the events.
Manages employee events for the division.
Assists in the upkeep and overall professional appearance and standards in the executive area with a focus on continuous improvement.
EDUCATION AND EXPERIENCE:
High School Diploma or equivalent is required.
Minimum five to seven years administrative experience preferred.
OTHER SKILLS AND ABILITIES:
General knowledge of financial institutions and CU operations, strong organizational skills, excellent written/oral communication skills, professional telephone manners, excellent interpersonal skills, able to meet deadlines, strong service and team orientation, ability to handle sensitive/confidential information, able to work late evening hours as necessary.
Proficiency in Microsoft Applications (Word, Excel, PowerPoint, Outlook) and the Internet. May be required to learn and use other software applications.
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rates, ratios and percent and to draw and interpret bar graphs.
