Microsoft Mobile & Cross Device Experiences Team (MMX) has 7 products including Your Phone connecting Windows PCs & Phones, OneNote, Sticky Notes, Launcher, SwiftKey, Edge for mobile and To-Do. As the Executive Business Admin, you will support the CVP and the MMX organization while working as a key member of the leadership team. You will partner with our Business Manager and lead our business administrators across the world to create an inclusive culture and work environment for the team, while being the primary support to the CVP. We have regular meetings with senior management, this Executive Business Admin will serve as a key liaison between other senior executive teams. If calendaring is your superpower and "can-do" is your mantra, then you are the right person for this role. If you enjoy collaborating with others and helping to find solutions, then this role is for you. Your ninja calendaring skills will be paramount in this role. Your judgment in creating geo-friendly for small to large events/meetings is critical. This role requires strong collaboration skills, judgment, organizational skills, great attention to detail, the ability to meet tight deadlines, and strength in navigating and juggling multiple priorities. Your ability to complete work quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without always having the total picture will be needed. A calm and reassuring manner, bringing confidence and focus to tense situations will be highly valued. **Responsibilities** + Manage and maintain complex Executive calendar on a daily, monthly, quarterly and annual basis to ensure accurate scheduling and organization + Domestic & international travel logistics management, trip preparation and expense reporting + Manage budgets and expenses in a compliant and timely manner in partnership with Business Manager. + Negotiate services when needed, primarily event related + Ensure compliance of the company's operational policies and procedures + Manage and maintain the organizations distribution/security group aliases and TEAMS channels + Create a fun, team-based environment across the organizations admins and business managers + Work closely with Business Manager on aligning Rhythm of the Business processes and operations with Executive calendar and ensure tight coordination of Executive and Team commitments + Coordinate scheduling and logistics for leadership team staff meetings, All-Hands, events and off-sites, including venue selection and meeting details + Participate as a member of the leadership team, contributing to setting business priorities, providing perspective on the team, morale, space, resources and represent issues with teams across Microsoft and other dependencies **Qualifications** + Demonstrated experience in representing executive or executive team in administrative role + Experience in global travel or managing across multiple locations preferred + Excellent organizational, analytical, anticipatory, and written communications skills + Ability to make independent decisions and to juggle multiple projects at once, in addition to dealing with ambiguity + Solid project-management and problem-solving skills + Must be assertive and have a high level of integrity and consistently demonstrate a positive can-do attitude with the ability to maintain the confidentiality of sensitive material with tact and professionalism + Eager and able to work effectively under pressure with short time constraints and in relatively ambiguous and complex situations, as well as the ability to adjust direction in response to changing work situations + Able to work successfully in a team environment, build effective working relationships inside and outside group with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups + Knowledge of corporate organization and ability to navigate it and knowledge of departmental business practices and tools is preferred + Experience managing administrative professionals, contractors, and vendors preferred + Proficiency in Outlook, Word, Excel, PowerPoint and Visio + Knowledge of internal Microsoft tools such as HeadTrax, MSS, MSExpense2.0, MSTravel, iCIMS, ManagePointHR + 6+ years of scheduling experience with the ability to manage multiple calendars Microsoft is an equal opportunity employer.
