POSITION TITLE:Purchasing Supervisor
DEPARTMENT/LOCATION: Food Services/Food Production Center
POSITION SUMMARY: This position is responsible for implementing purchasing activities in compliance with mandated requirements in support of Food Services goals and objectives. This position is expected to oversee daily purchasing activities to ensure appropriate inventory levels are maintained at the best cost and level of service as specified. This position is part of the Food Services Division and reports to the Assistant Director of Operations.
Procures supplies and materials (e.g., food, beverages, paper goods, etc.) for the purpose of maintaining availability of required items.
Oversees required processes (e.g., orders, inventories, and requisition for supplies, deliveries, equipment, bids, etc.) for the purpose of acquiring necessary resources to support Food Services.
Issues purchase orders, etc. (e.g., foods, beverages, paper goods, supplies, etc.) for the purpose of completing purchasing processes in accordance with established procedures.
Initiates and administers bidding process and contracts for vendor performance/compliance within established limits (e.g., prepare specifications, evaluate bids, recommend vendors, conduct bid meetings, etc.) for the purpose of securing items and/or services within budget and in compliance with regulatory requirements.
Maintains purchasing information, manual and electronic files and records (e.g., Requests for Proposal, purchasing history, purchase orders, vendor files, etc.) for the purpose of ensuring the availability of documentation and compliance with established policies and regulatory guidelines.
Negotiates with vendors for the purpose of resolving purchasing issues and/or ensuring purchases are within state and district requirements/regulations.
Compiles data from a wide variety of sources (e.g., vendors, staff, public agencies, etc.) for the purpose of analyzing issues, ensuring compliance with a wide variety of purchasing policies and procedures, and/or monitoring purchasing processes.
Perform other duties as assigned.
Education and Experience Requirements:
2 years related purchasing experience.
Associate degree preferred.
Experience working in Child Nutrition Programs preferred.
Required Knowledge, Skills and Abilities:
Excellent verbal, written and listening communication skills
Ability to organize and prioritize multiple projects simultaneously
High degree of motivation, responsibility and confidentiality
Demonstrated ability in compiling, organizing, and analyzing data
Ability to work independently with minimal supervision in a fast-paced work environment
Highly collaborative team player
Proficiency with Microsoft Office (Word, Outlook, etc.)
Ability to self-initiate areas of opportunity, make recommendations for improvement, and follow up as necessary to achieve desired results
PHYSICAL REQUIREMENTS: This position requires the performance of generally sedentary work— exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently to move objects. This position requires close visual acuity to perform functions such as but not limited to reading, computer work and data analysis. The position includes frequent walking, talking, hearing, grasping and repetitive motion, occasional reaching, feeling, lifting, carrying, pushing, and/or pulling, some stooping, balancing, and standing, and significant fine finger dexterity. The job is performed in an indoor environment with a generally hazard environment that includes machinery.
