We are looking for an Administrative Assistant in the law department in Minneapolis, Minnesota, reporting directly to the Senior Counsel. You will also interact with team members within the business including lawyers, paralegals, finance, contracts, subcontracts and others. The successful candidate will be responsible to perform diversified administrative duties requiring a high degree of tact. Responsibilities include: • Process legal invoices, to ensure timely approval and payment • Maintain required documentation; responsible for document filing and retention • Schedule meetings and training sessions; manage legal calendar(s) • Arrange travel and prepares expense reports • Draft, proofread and edit records, forms, letters and other documentation in Microsoft Word, Excel and PowerPoint • Review various documents to ensure the format is correct and appropriate policies and procedures are correctly carried out • Coordinate status of documents and reports. Update and prepare listing of weekly or monthly status reports • Maintain accurate meeting minutes and may be responsible for the coordination and follow up on of action items • Perform additional duties as assigned
Ability to communicate and interact productively with employees at all levels within the company. Strong written and oral communication skills. Experience with handling confidential records. Expertise and proficiency with Microsoft Office tool set (Word, Excel, PowerPoint, & Outlook)
Associates Degree or equivalent plus two (2) years relevant experience; or High School education plus four (4) years relevant administrative experience.
