Position Description: Provides administrative support to a department or business unit. Reports To: Executive Assistant or OM **Essential Duties & Responsibilities*:** Responds to all incoming calls. Greets and assists visitors to the office. Maintains conference room schedules, maintenance and appearance. Process day-to-day administrative items; mail, overnight mail, packages, etc. Set up for meetings (coffee, lunch, etc.); order food as requested. Photocopying, filing, and sending faxes. Orders all office supplies, business cards and stationery. Maintains the reception and kitchen area in a neat and organized manner. Provide support for Administrative Assistants and Executive Assistants as needed. Maintain employee directories, seating charts and organizational charts. Responsible for coordinating office services and internal moves. Responsible for day-to-day facilities management; communication with cleaning crew and building manager as needed. Oversee the maintenance of office equipment and be a point of contact for vendors, service technicians, etc. Keep common office spaces clean, help reduce clutter, clean up unused desks; take ownership over the office. This role may perform other office functions as assigned, such as appointment scheduling, office manager functions as delegated and human resources administrative functions.
