The Safety Management Data Analyst will assist with the monitoring of administrative operations of the Safety Department. The incumbent conducts research, compiles information, provides analysis, and makes appropriate recommendations; organizes, prepares, analyzes, tracks and monitors information and communication received by and sent by the Manager of Safety Management/Safety Officer and other senior leaders; facilitates organizes, and schedules meetings and conferences; drafts correspondence; organizes and maintains files, binders, participates in meetings; prepares meeting notes and minutes; creates reports; maintains spreadsheets, graphs and other types of electronic records.
Four to six (4-6) years progressively responsible experience in a support services department or equivalent required, preferably in a healthcare setting. Associates degree or commensurate experience preferred.
- Develops, updates and maintains databases relating to Safety Management using Microsoft Office systems and other tools.
- Manages and maintains all safety and regulatory documents, including, but not limited to: Environment of Care, Life Safety, Emergency Management related binders, fire drill records, hazardous waste records, manifests, permits, etc.
- Prepares statistical reports, charts, graphs, and PowerPoint presentations to display information relating to Safety Management using Microsoft Office systems and other tools.
D. Acts as a Microsoft Office resource to other staff within the division by guiding colleagues through various computer terminal functions to create reports, graphs, charts, and PowerPoint presentations.
- Facilitates, organizes, schedules, and participates in meetings, conferences and programs and prepares meeting notes and distributes minutes.
F. Prepares annual, semiannual quarterly, and monthly reports for the Safety/Environment of Care Committee and Quality Council.Prepares weekly Environmental Rounds/Health & Safety Inspection reports.
G. Types and maintains policies, procedures, correspondence, reports, tables, forms, and other materials utilizing Microsoft Office.
H. Interacts will all levels of system personnel and the general public to coordinate activities that are of concern to the Safety Department.
I. Assesses office support operations and makes recommendations for change to improve the efficiencies of the operation of the workflow process.
J. Complies, review and analyzes statistical data and makes appropriate evaluations and recommendations regarding assigned special projects.
K. Organizes and maintains files, regulatory documents and the MSDS online system.
L. Maintains confidentiality regarding all areas of Safety Department functions.
M. Coordinates purchasing of equipment and supplies and submits required requests.
N. Performs various duties related to implementing special projects.
O. Reviews, evaluates and prioritizes a wide variety of projects in order to obtain the most efficient utilization of resources.
P. Provides coverage in the absence of administrative staff, performing office duties as requested.
P. Performs related work as assigned.
