A Global Biotech/Pharma Company in Cambridge, MA is seeking an experienced Sr Administrative Assistant with a dynamic personality to support their highly collaborative Vaccines Business Unit Team.
Contract: 6 months with possible extension
VBU is currently looking for an experienced Senior Administrative Assistant to provide proactive administrative support to the Head of CMC for Regulatory Affairs and onsite RAV team members. The incumbent will provide primary support to RAV (50%) and additional support to VBU team members outside of RAV as assigned (50%). The successful candidate will be highly collaborative, adaptable, and able to multitask and prioritize workload.
Working hours: 8:30 AM - 5:30 PM
--Responsible for all administrative and assigned tasks including support for meeting logistics, travel and expense management, vendor management, and presentations.
--Arranges domestic and international travel itineraries and expense reports for the Executive he/she supports and additional team members as appropriate.
--Serves as point of contact for RAV team's Concur-related onboarding and issues management. Supports team members in their travel planning and expense reporting,
--Assists with building presentations decks demonstrating advanced skills with Microsoft PowerPoint. Reviews and proofreads presentations and documents for grammar, spelling, and accuracy; ensures document text and graphics adhere to corporate and organization guidelines and standards.
--Manages meeting arrangements including room booking, visitor registration, catering, IT support, etc. as-needed.
--Partners effectively with Administrative colleague in RAV. Contributes as a positive-team player to VBU Admin Team initiatives including onboarding, training initiatives, events and day-to-day operations management for the Business Unit.
--Assists team members with virtual meeting technology including WebEx and Cisco Telepresence systems.
--Manages requests for purchase orders utilizing Ariba system and in coordination with Contracts Team and Procurement.
--Implements changes to improve processes for direct responsibilities with input and direction from supervisor.
--Performs other duties assigned.
EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS:
??? Minimum 5 years of relevant work experience. Strong PC literacy including basic understanding of Microsoft Outlook, Word, Excel, and PowerPoint.
??? Minimal travel as required for the work, primarily for meetings.
??? Adaptable: demonstrates ability to multitask reprioritize tasks in a fast-paced and ever-changing environment.
Good verbal and writted communication skills.
Advanced PowerPoint skills preferred
