Primary Care Overview
MGH PrimaryCare, part of the Department of Medicine Division of General Internal Medicine (DGIM),is an integrated network of academic, urban, suburban and community healthcenter-based practices.The clinicalwork within the twenty plus sites includes adult internal medicine,medicine/pediatrics and pediatrics. Primary Care is an integral part of the MGHcommunity, in which practice sites provide care to a diverse socio-economicallyand culturally rich patient population.
Receivinggeneral direction from the Senior Administrative Director, the SeniorAdministrative Manager will partner with practice Medical Directors and NurseManagers to manage the operations, finances, quality and patient safety, staffrecruitment, retention and development and general administrative functions ofthe practice.The Senior AdministrativeManager will supervise multiple practice managers and administrativecoordinators/supervisors/team leads.TheSenior Administrative Manager will participate in and lead division, departmentand institution related initiatives, as appropriate.
Thisposition requires a high degree of initiative and excellent judgment, strong analytic,organizational and communication skills, the ability to prioritize and manage awide range of responsibilities and the experience needed to make decisionsquickly and independently and appropriately escalate challenges as they arise.
Responsiblefor leading transformation and innovation in Primary Care; utilizing newtechnologies and systems.
Responsiblefor identifying and leading the centralization of key operational functions tocreate enhanced patient experiences, more efficient workflows and net costsavings.
Responsiblefor the oversight of key primary care projects and initiatives, which aredesigned to be implemented across Primary Care. These projects are designed tocreate operational efficiencies and enhance the use of patient facingtechnologies.
Responsiblefor the administrative and financial functions including but not limited tofinancial controls, asset management, budgeting and accounting aspects of thepractice, i.e. supervision and support of the billing and collection formedical services, management of accounts receivable and accounts payable,maximization of third-party reimbursement, and effective purchasing practices.
Manage thenon-medical aspects of the delivery of healthcare, i.e. strategic and businessplan development, redesign of administrative and clinical operations, propertymanagement, new ventures, and the design, renovation, equipping and staffing ofoffice space
Oversee therecruitment, hiring, training, staff development and evaluations ofadministrative and support staff, including PSCs and medical assistants.
Interview,hire, issue corrective action, and direct the work of and evaluate theperformance of all managers, administrative staff and medical assistants, whereapplicable, (in collaboration with the practice Clinical Director) in the unit,ensuring that they operate with the support of the physician staff in providingthe highest quality patient care at the most reasonable cost.
Responsiblefor the preparation of operating and capital budgets on an annual basis,forecasting volume and related revenue; budget professional andnon-professional salaries and non-salary expenses.
Monitoroperating budget and physician productivity throughout the year; analyzevariances and reports on financial performance.
Act as aliaison to DGIM/ Primary Care leadership, Human Resources, and MGH departmentsto ensure effective operations of the practice.
Assist inestablishing departmental policies, programs, and procedures related tobilling, financial, and operational management. Evaluate, initiate, andimplement various departmental systems and procedures and revise as necessaryto maximize efficiency.Assess personneland fiscal implications of organizational changes in clinical programs; assiststaff in implementation of changes, while monitoring and analyzing the impactof change
Assist inestablishing policies and implementing plans for professional andnon-professional salaries in accordance with hospital guidelines; coordinatethe processing of professional salary changes.
Function asliaison with internal groups and external organizations.Represent the practice at various hospitalmeetings.
Oversee theefficient operation of reception and registration functions, phone systems,patient flow, appointment scheduling.Prepare and process purchase orders as needed.
Work closelywith external Hospital departments to ensure consistency and quality ofpractice/department access for clinicians, support staff, and patients.Respond to and resolve customer complaints.
Serve as pointperson for division environmental issues related to repairs, cleaning,directories, signage, security, etc.Establish and enforce fire and safety regulations, following establishedprotocols, and ensuring compliance with JCAHO, OSHA, HIPAA, and Hospitalguidelines.
Serve asresource for questions related to information systems.Arrange for hardware/software installation,troubleshooting, system access, etc.
Acts in therole of mentor to existing and future administrative managers/practice managers
Assignedproject work by DGIM/Primary Care Leadership as part of overall practiceenhancements in the areas of:
Practice Redesign and improvement
Non-Visit based care initiatives
Recruitment and Retention of MD and non-MDstaff
Work on special projects as assigned.
Experience workingwith physician, nursing and administrative leaders in a large academic teachinghospital to manage the daily operations of a practice or clinical service.5-7 years preferred, including at least 3years of supervisory experience.
Bachelor’sdegree required; MBA, MPH or other comparable Master’s degree, preferred.
Demonstratedability to be flexible, highly organized and thoughtful, in a fast-paced,complex environment

Conceptualizesand performs financial analyses to inform proactive decision-making.
Generalmedical office environment located in large ambulatory care setting.May be required to attend meetings outside ofregularly scheduled hours.
