The Workplace Solutions Specialist will report to the Director of Facilities supporting the Nestl company stores, real estate transactions, financial analysis, and local facilities services.
Serve as the Company Store Liaison, assist with product pricing, invoicing, Hybris (online ordering), and promotional products.
Manage the local national company store contacts and distribution lists.
Review financial performance and invoicing for the local company store to ensure accurate price points and reporting.
Work directly with the Manager of Real Estate Transactions on summarizing and reviewing leases, collecting and recording rent deposits and processing and recording rent payments.
Provide reporting on Nestl USAs ongoing compliance with lease obligations, and provide reporting to the Director Facilities and Manager of Real Estate Transactions to ensure full asset optimization.
Complete other projects or lease-related activities as required.
Perform invoice reviews utilizing SAP and Lease Management Systems.
Perform financial analysis including cost center reports, reviewing general ledger variances and quarter end dynamic forecasts.
Assist with PowerPoint presentations for various stakeholders within the company.
Support local facilities services for large events and employee customer service as needed.
Management of floorplans and seating with key stakeholders, maintain all seating data for the facility, update moves/adds/changes routinely.
Manage and document site specific safety metrics and required postings.
Manage and coordinate with vendors for work requests and site access.
Coordinate with Property Management for vendor access, loading dock use, engineering support, cleaning contracts and after-hours access.
Scheduling Workplace Solutions team meetings and events with team members from all office locations.
Conduct and participate in meetings representing Workplace Solutions and Services.
- Bachelors degree; equivalent experience defined as at least 4 years of relevant, professional-level working experience in the same or similar field.
Prior experience with creating professional presentations.
Prior corporate finance experience a plus.
Demonstrate strong verbal and written communication skills, and business math proficiency.
Strong interpersonal skills with a focus on teamwork and customer service.
Ability to work on multiple projects simultaneously, prioritize, follow-up and bring projects to conclusion.
Proficient in PowerPoint, Word and Excel. Ability to read architectural/engineering drawings and written specifications. Excellent customer service skills.
Excellent oral and written communications skills.
Ability to multi-task and prioritize concurrent assignments. Ability to adapt to shifting priorities.
Ability to be available to be on call and respond at off hours to emergency situations.
